TRANSPORT & LOGISTICS MANAGER

ABOUT THE ROLE

Contract Dates - 01/06/2025 - 09/08/2025

Starting in June (remote/on-site until camp), it will be located at the head office.

Overview:

Help to ensure Exsportise achieves its goal of providing a first-class transport and transfer service to all students and make sure that students' arrivals, departures, and excursions are completed effectively without any disruption to the students.

Main Roles & Accountabilities

(aided by Head Office staff):

  • To organise the schedule for arrivals and departures and where possible collaborate with the other Exsportise centres for cost efficiency, to provide a professional transfer service in which every student is met on time on their arrival and checked in with plenty of time for their flight on departure.

  • To assign staff and transport to every transfer accordingly and implement and personally oversee and manage arrival and departure days. (communicate with centres daily).

  • To be fair and consistent when allocating staff to both transfers and excursions, making sure that different members of the team are allocated an “early” shift.

  • To liaise with the Centre Manager, administrators and transport companies to ensure that students and staff are transported to and from their excursions on time.

  • To run airport induction sections for summer staff as part of their pre-course induction training

  • To oversee all Airport and St Pancras supervisors ensuring they have all the information and equipment they require to efficiently oversee all arrivals and departures from their terminal

  • To deal with any complaints relating to transfers, follow-up actions are taken and complaints / concerns have been resolved

  • Manage excursion coaches (bookings) and amend/cancel if required before being charged (2/3 weeks ahead)

About You

All staff are responsible for ensuring the efficient operation of the centre. Our top priority is the safety of children and maintaining the highest standards. Staff should be adept at handling sensitive situations, adhering to confidentiality and data protection guidelines, serving as good role models, maintaining professional boundaries and contributing to a positive summer school environment.

  • Strong organisational/transport logistics background (proven experience)

  • Leadership Skills: Strong ability to lead, motivate, and manage a diverse team of staff members, including teachers, coaches and support staff.

  • Organisational Skills: Excellent organisational and multitasking abilities

  • Communication Skills: Strong written and verbal communication skills, able to effectively communicate with Contractors, staff, parents and children.

  • Interpersonal Skills: Strong interpersonal skills to build relationships with contractors, staff, parents and children, fostering a positive and team environment.

  • Problem-Solving Skills: Proven ability to quickly and effectively solve problems, make decisions, and handle crises.

  • Highly organised with a good eye for detail and excellent time management skills

  • Flexible and adaptable approach to working hours

  • Able to deal well with pressure

  • Good knowledge of MS Office, especially Excel, database experience (training experience) and sound knowledge of Google Drive are desirable

  • Health and Safety Regulations: Knowledge of health, safety, and welfare regulations pertaining to caring for children.

  • Cultural Sensitivity: Awareness and understanding of cultural differences and the ability to foster an inclusive environment for students and staff from diverse backgrounds.

  • Adaptability: Ability to adapt to changing situations and handle unforeseen challenges effectively.

  • Empathy and Patience: Empathy for students and staff and the ability to handle situations with patience and understanding.

  • Integrity: Strong ethical standards and integrity, ensuring the welfare and safety of students and staff are always prioritised.

Working Conditions:

  1. Rota & Days Off: Rotas and days off are discussed/organised with Head Office Staff

  3. Working Hours: Usual working hours are 9:00 – 17:00 with one hour for lunch. Due to the unpredictable nature of the weekend activities (flight arrivals and departures), these days will be longer.You'll be requested to sign an opt-out agreement for the 48-hour working week. The day off is usually Tuesday/Wednesday.

  4. Welfare & Intensity: Our programmes require commitment and are action packed. Days can be long and demanding. Regardless of being on or off duty, Exsportise is committed to safeguarding and prioritising the welfare of students and staff is paramount.

  5. Accommodation: Staff housing is provided at the course centre, single room with shared bathroom facilities.

  6. Dress Code: When overseeing activities, sportswear is required so please avoid excessively short or revealing attire.
